OVERVIEW
Grice Collins Long (GCL) is an established and highly successful practice of Chartered Surveyors based in Hertfordshire. We specialise in food & beverage, travel and retail including at-hand-retail. We also deal with shopping centres, high streets and out of town locations. We advise on all aspects of asset management leasing, professional and property management.
THE ROLE
This is an opportunity to join a growing team of dedicated GCL colleagues who deliver the highest level of expertise and service to our Clients.
Based at our offices in Hertfordshire this role will provide start to finish service charge administration across the growing client portfolio, ranging from major motorway service areas and shopping centres to smaller commercial properties located around the UK. The successful candidate will work within the Property Management and Accounts Teams and will report to the Finance Director.
JOB SPECIFICATION
Service Charge Set-Up | Review service charge hand over documents provided by previous managing agents to determine accuracy of information. Provide due diligence on tenant leases in relation to service charge clauses. Determine suitability of previous allocations and apportionments. Assist with due diligence for new properties in relation to outstanding service charge issues and overall service charge management. Implement mid year changes to service charges based on changes to unit sizes or property configurations. |
Budgeting | Coordinate the preparation of annual service charge budgets for properties in conjunction with the Property Management team. Manage the client approval process. Review unit and tenant allocations on an annual basis. With the Office Administrator ensure timely dissemination of tenant budget packs. With the Accounts team update budgets in Tramps and confirm tenant apportionments. |
Reconciliations | Prepare annual service charge reconciliations for properties in conjunction with the Accounts team. Liaise with auditors where required. Provide draft and final reconciliations to the client. Review unit and tenant allocations on an annual basis. With the Office Administrator ensure timely dissemination of tenant reconciliation packs. |
Tenant Facing | Respond to tenant queries regarding all service charge matters. Manage and resolve tenant disputes. Calculate and implement annual service charge cap RPI increases. Undertake credit control for service charge amounts. Provide service charge allocations to the Agency and Asset Management teams in relation to new lettings. |
